HR Assistant


ABOUT RI: Relief International (RI) specializes in relief and development programs that benefit people in acute distress. A registered non-profit in the US, UK, France and Belgium, our work targets those fragile countries or communities that suffer from man-made or natural crises that impede human development. The people that we serve live in 14 countries across the Middle East, Africa, and Asia where the debilitating effects of political instability, forced displacement, and natural disasters are pervasive. RI has been working in Jordan since 2004, providing vital services to refugees and vulnerable host communities across the country.
Summary:
The HR Assistant is responsible to provide field and office staff with HR support by acting as the liaison between Amman HR Department and the employees, ensuring smooth communication and prompt resolution of all queries.

Essential Position Responsibilities and Duties:
  • Ensure that employees’ files are auditable at all times as per RI standards and any relevant donors’ requirements.
  • Ensure On-Boarding process is being done for all newly hired staff.
  • Perform a variety of general office support duties; copying, scanning, printing, assisting in organizing of events, training and workshops, office running and document translation.
  • Assist in distributing, collecting and delivering official documents between fields’ staff & the HR Department and vice versa, e.g. (medical insurance forms, official letters and other related documents whenever needed).
  • Collect and review the attendance sheets for Syrians and Jordanians after being collected in camps.
  • Help in with the implementation of services and policies.



  • Provide general administrative support such as preparing correspondence, forms and reports, make photocopies, scanning, printing, processing confidential reports and documents, filing electronic and hard copy, tracking deadlines.
  • Admin for RI Academy related issues such (Add/Remove Staff, crediting and assigning).
  • Perform any other duties as assigned by supervisor.

Recruitment Process Support:

  • Handling hiring process activities such as posting jobs on job board or website, reviewing applications and maintaining a spreadsheet on tracking an applicant. Be part of the interview panel for positions of officer and below.
  • Print and prepare hiring policies and forms for new hires in advance with the coordination with the relevant HR member.
  • Open hard copy files for new hires after double checking that all policies and required documents signed and delivered properly.
  • Support in entering new hires information and updating current staff information in the HR software, includes scanning related documents.
  • File interviewed candidates CVs alongside to their interview sheets (those who did not pass the interview) based on the position was interviewed for.
  • Responsible for the hiring of Jordanian & Syrian volunteers (including filing).
Working Relationships

  • Proactively engage with your supervisor and key staff (Program and Finance).
  • Proactively engage on a regular basis with your supervisor to develop working networks to seek advice where needed.

Representation

  • Represent RI in a positive and professional manner to contribute to the creation of a positive image and overall credibility of the organization, notably through the application of RI's mandate, ethics, values and stand-point with regard to other actors.
 Security 
  • Ensure the application of, and compliance with, security protocols and policies.
 Qualifications and Requirements:
Share the humanitarian mission of the organization.

  • BA degree in Business Administration or any related filed.
  • Two years of work experience as Administrative/Office Assistant or any similar role. Preferable in iNGOs.
  • Excellent knowledge in MenaPay and MenaMe software.
  • Excellent written and oral communication skills in English.
  • Proficiency with Microsoft Office (Word, Excel, and PowerPoint) and Outlook.
  • Excellent interpersonal skills, including patience, diplomacy, willingness to listen and respect for colleagues.
  • Capable of working both individually and as part of a team.
  • Ability to work effectively in a fast-paced, stressful environment.
  • Flexible, willing to perform other duties and work irregular hours.
